Graduation Procedure / Required Documents / Technical Guidelines for Thesis Writing
Submission of Thesis and Completion of the Diploma Examination Record will take place through the e-Uczelnia system.
1. Submission of the Thesis
The thesis may be submitted no later than the last day of the regular examination session.
2. External Thesis Supervisor / External Reviewer
An application for the appointment of an external thesis supervisor is submitted by the student to the Deputy Dean for Student Affairs and Education.
An application for the appointment of an external reviewer is submitted by the Director of the Institute.
3. Group Thesis (if applicable)
A statement specifying the contribution of each team member to the thesis and its subject matter must be included at the end of the thesis.
Students who wish to submit a joint thesis must submit to the Deanery an application certified by the thesis supervisor (one application per team), including:
- the thesis title;
- the name of the thesis supervisor;
- the list of team members;
- a description of each team member's individual contribution to the thesis (both in terms of subject matter and percentage contribution).
4. Thesis Title Page
Students may download the title page from e-Uczelnia system following the correct tabs: Student > Studies > Diplomas. However, using the title page generated by e-Uczelnia is not mandatory. Faculty-approved title page templates (available in the attachments) may also be used.
5. Approval to Upload the Thesis
After the student has completed the thesis and the supervisor has given preliminary approval, the supervisor grants permission in the e-Uczelnia system for the thesis to be uploaded.
6. Uploading the Thesis
The student receives an email notification informing them that the thesis can be uploaded. The student should then log in to the Student tab, select Diplomas, and open the diploma details.
The maximum file size for the written thesis is 15 MB.
7. Declaration of Independent Authorship
Before uploading the thesis, the student must submit declarations confirming:
- that the thesis has been prepared independently,
- whether artificial intelligence (AI) tools were used in the preparation of the thesis.
Note: When submitting these declarations in the e-Uczelnia system, students must ensure they select the correct type of diploma, i.e., Master's thesis or Bachelor's thesis, as appropriate.
8. Thesis Approval
The supervisor verifies that the student has uploaded the correct version of the thesis previously agreed upon. The supervisor then approves the thesis in the e-Uczelnia system.
9. Plagiarism Check
Once the thesis has been uploaded to e-Uczelnia, it is automatically forwarded to the Unified Anti-Plagiarism System (JSA) for verification.
10. Supervisor's and Reviewer's Opinion
The supervisor's opinion, the reviewer's report, and the final thesis grade must be uploaded to the e-Uczelnia system no later than 5 days before the diploma examination.
Both the supervisor's opinion and the review must include the student's full name, and the signature of the supervisor/reviewer.
No later than 5 working days before the diploma examination, the thesis supervisor must send an email to the Deanery staff member responsible for the graduation process in the relevant programme, informing them of the final thesis grade. This is possible only after:
- the thesis has been checked in the JSA system,
- both reviews have been uploaded,
- the supervisor and reviewer have entered the thesis grades.
Note: The rules for calculating the final thesis grade are provided in the table below.
11. Examination Committee
No later than 10 working days before the diploma examination, the Director of the Institute or their deputy must send the composition of the examination committee by email to the Deanery staff member responsible for the graduation process.
12. Verification of the Examination Record
No later than 1 day before the diploma examination, the chair of the examination committee must verify the correctness of the electronic diploma examination record in the e-Uczelnia system. Any errors should be reported to the appropriate Deanery staff member.
13. Diploma Examination
Immediately after the diploma examination, the examination committee prepares and signs the examination record in the e-Uczelnia system and forwards it to the Deanery.
Note: During the diploma examination, the committee must have access to at least one computer connected to the Internet to use the e-Uczelnia system.
14. Additional Skills, Qualifications, and Achievements (if applicable) - Supplement Information
Students who wish to have additional skills, qualifications, or achievements included in the Diploma Supplement must submit supporting documents to the Deanery. Such information may be included in the Diploma Supplement upon the student's request and with the approval of the Deputy Dean.
The application and supporting documents must be submitted electronically no later than 7 working days before the diploma examination.
The following documents should be sent to the Deanery staff member responsible for the graduation process:
- an application requesting the inclusion of additional information in the Diploma Supplement (template provided below in editable format),
- a concise list of the achievements in a text document, prepared in bullet points in both Polish and English,
- copies of documents confirming the achievements (e.g. certificates, attestations, or other supporting documents). The originals must be presented for inspection upon request.

ADMISSION TO THE DIPLOMA EXAMINATION IS CONDITIONAL UPON FULFILLING THE REQUIRED ECTS CREDIT REQUIREMENTS.
